Meeting Notes and Action Capture

A note-taking process that turns a meeting into a short record and, more importantly, a list of owned actions with due dates.

Admin & Office 6 steps
When to use

For any meeting where decisions or actions come out of it.

Trigger
Runs when: A meeting with decisions or follow-ups

The procedure

6 steps

  1. Note the attendees, the date, and the purpose at the top.
  2. Capture decisions made, each in a single clear line.
  3. Capture every action with an owner and a due date; an action with no owner is not an action.
  4. Note open questions and anything explicitly parked for later.
  5. Send the notes within a few hours while the meeting is fresh.
  6. Route the actions into wherever the team actually tracks work.
Outputs
  • A short meeting record with decisions
  • Actions with owners and due dates
  • Actions routed into the work tracker
Tools
Notes / docsTask tracker
Note: An action with no owner and no date is a wish. The decisions are worth recording; the owned actions are the reason the meeting happened.
